Formal progress reviews are an essential part of seeing objectives through to successful completion. The review meeting gives everyone a focal point to work towards and keeps the profile of objectives high. The review meeting also provides: a formal structure to examine the progress that has been made; an opportunity to discuss any problems and issues; and an opportunity to boost morale and reward hard work and success. The benefits of the review meeting can be lost if they are undertaken as a ‘tick box’ exercise, if the manager treats them as just another drain on their time, and if they aren’t carried out at the right time. This training activity examines the purpose, frequency and time limits of the review meeting giving participants an opportunity to explore these issues and decide on the most effective ways of carrying them out.

You open the training activity by explaining that it is essential to formally review objectives as a key element of ensuring that they are successfully completed. You move on to look at the various meetings that can be used to review objectives, and then explain that participants will be examining the purpose-planned review meeting. Next, outline questions that need to be considered in order to conduct and effective review meeting. This is followed by a segmented pairs exercise where participants work on a section of the exercise, feedback, continue working, and so on. Finally, you invite participants to share their key learning points before issuing and commenting on a key learning points handout.

Participants should already have covered ‘Objectives: What they are and why the exist’ and ‘Introducing the SMART objective’. This training activity needs to be covered in conjunction with ‘Monitoring progress’, to ensure that all aspects of formal and informal monitoring and reviewing are addressed.
