What kind of person do we need?

Once a recruiter has though about the job in detail, they then need to think about the ideal candidate for the position – what level of education that person should have reached, and what experience, skills and personal attributes they should possess. The best way to gather and collate these details is to develop a ‘job description’ and a ‘person specification’. A job description details the main purpose, responsibilities and tasks of a job and can be used to tell candidates about the job. A person specification lists the human characteristics, experience and qualifications necessary to perform that job. This can then be used as a basis on which to make objective judgements about candidates’ suitability for the job. This training activity looks at how to go about compiling job descriptions and person specifications.

You introduce this training activity by reminding participants about two key documents which form the basis of any selection process – the job description and the person specification. You then talk participants through the main headings included in the basic job description and give them a chance to examine and discuss a completed job description. You then divide them into groups to carry out an exercise in devising a job description for a charity fund-raising manager. Next, you go on to introduce the concept of a person specification and outline the five point plan – or five heading – used in a person specification. The participants then review a completed specification before splitting into groups to carry out another exercise – compiling a person specification for the fund-raising manager. Finally, you conclude the training activity by summarising, for participants, the key learning points of the training activity concerning the uses and advantages of job descriptions and person specifications.
