Giving feedback on performance is always a delicate matter; giving feedback on poor performance is even more so and needs careful structuring and preparation. The danger for the manager is that feedback can easily develop into a list of criticisms. The difficulties often occur because the giver of the feedback is in some way involved in the situation – the manager’s manager is demanding action, or perhaps customers are complaining about an employee. Either way, the manager feels that they are under performing in some way. Of course, in a way they are; action should have been taken before things reached the stage of pressure being felt. All these things lead to the manager taking the individuals poor performance personally, and that makes it extremely difficult to provide effective and empathetic feedback.
The training activity begins with a general and important statement about feedback that provides a focus during the sessions. This is followed by group work on participant’s personal experience of feedback, both good and bad. The essential aspects of feedback develop from this, with emphasis being laid on the need for empathy with the receiver. They consider the differences between empathy and sympathy, and then work alone to identify appropriate and inappropriate feedback statements. Finally, the participants review the training activity in a set of guiding principles for giving feedback to the poor performer.
