Managing meetings is a core skill for all managers. This training activity would be useful for participants who have to attend meetings as part of their work, whether or not they have the direct responsibility for convening and chairing the meeting.
You lead a discussion which enables the participants to identify the reasons why many of the meetings they attend are not effective. The participants then work in small groups and draw up a checklist of key actions that need to be taken during the meeting to ensure its success. Their views are reinforced by a handout detailing some steps for success. You now lead a discussion on the pros and cons of the five predominant styles used to make decisions in meetings. The rest of the training activity focuses on what’s required to run a meeting where consensus is used to reach decisions. The participants then try out these key points by participating in a meetings exercise. They initially work on their own and list the order of importance of 15 items. They then work in small groups and use the consensus ground rules to agree an order which has the support of the whole group. The training activity ends with a review of the exercise which allows the key learning points to be defined and turned into an action plan for each participant’s continued development at work.
