When someone leaves an organisation and their job becomes vacant, most people assume that the obvious course of action is to recruit a replacement. In fact, there are many other options those responsible for recruitment should consider when a vacancy arises. The first step in the structured recruitment and retention process is to ask the question: ‘Do we need to recruit?’ This training activity introduces participants to a useful flow chart which they can use to guide them towards an answer to this question.

You introduce this training activity by explaining how, when a vacancy arises, there are various alternatives to the immediate recruitment of a full-time replacement. These are what need to be considered when working through the first stage of the structured recruitment and retention process. You go on to introduce participants to the three questions they should ask when looking at whether or not to recruit a member of staff. You then develop this theme by demonstrating the use of the ‘do we need to recruit?’ flow chart to help recruitment decision making. Next, you will ask participants to use the three questions and the flow chart themselves to work through an exercise relevant to their own department or team. You then point out that the thought process they have been through in this training activity is a vital first stage in the structured recruitment and retention process. You conclude the activity by highlighting the key learning points covered in it.
