The annual performance review or appraisal is, in some organisations, the one real chance for staff members to reflect on their achievements over the past year, consider their strengths and weaknesses, identify their learning and development needs for the coming year, and to plan their development. For managers, the appraisal is an opportunity to consider how to get the best out of an appraisal or performance review, from the points of view of the organisation, the team and the individual staff member.
Once you have introduced the purpose of the training activity and elicited the aims of appraisal or performance review schemes from the participants, you then brief them and they prepare for the role-play exercise. In this preparation exercise, participants will be working, in three groups – the line managers in one group, staff members in another, and the observers in a third group. In the role-play exercise which follows they will each play one of the three roles; staff member (who uses handout 15.3, a completed review form); line manager, who will manage a review meeting with the staff member; and an observer, who will provide feedback to the manager on how well they managed the meeting and on their use of skills. In mixed small groups, participants then identify their learning from the role-play exercise, bringing in the perspectives of the staff member and the line manager – the observer will also have a significant input. This will enable participants to consider how to get the best out of appraisals or review meetings. The training activity closes with feedback from the small group discussion, which is a summary of learning.

Purpose: This training resource is intended for use by trainers as a stand-alone training activity, or to combine with other activities to form a one-, two- or three-day programme. You can use this training activity on a programme on achieving high performance. Since this is a practice opportunity, it will be helpful if you use it towards the end of a programme, so that participants can use techniques that have been introduced earlier. This training activity can also be used on programmes on staff support and supervision, quality assurance, customer care, or management development.
