Although people are aware that the appraisal process covers the whole year rather than just the month prior to the actual interview, many people only think about their appraisal immediately prior to the interview taking place. This inevitably leads to an unbalanced focus on recent events, which fails to give an accurate picture of what has taken place over the whole appraisal period. The problem will be exacerbated if quarterly reviews and/or monthly 1:1s do not take place. As people recall recent events more vividly than those that took place some time ago, the only sensible way of ensuring that a balanced view prevails is by recording significant happenings throughout the year. The system for doing this has to be quick and easy to use or it will not work. This training activity is a practical guide to setting up a system and deciding how best to make use of it. The organisation as a whole will benefit from an appraisal system that genuinely covers the whole year’s performance and from the enhanced quality of the actual time spent on appraisal interviews.

You start the training activity by introducing the topic of appraisee preparation and explain that a common problem occurs when people focus on what takes place in the period immediately preceding the appraisal interview. The participants learn about setting up an appraisal-supporting information file and decide on the categories their personal file will contain. They set up their supporting information files during the training activity. They then brainstorm to identify sources of relevant information for each category contained within the file and work individually to generate personal items that they can usefully include. A diary-planning exercise follows to allow participants to plan-in time for ‘sort and summary’ sessions plus other key events. Covering the ‘countdown to interview’ handout allows the participants to further fine-tune their preparation structure to ensure that they get the most out of their appeal. You take one or two key learning points from each person before distributing and commenting on a key learning points handout where appropriate.
