Very few people would set out on a long and unfamiliar journey without maps and an itinerary. The same applies to the planning of work and tasks. With constantly changing priorities, keeping track of all our different tasks seems almost impossible. This training activity demonstrates the process of planning and developing a task list to give greater control and improve personal effectiveness.

You begin this training activity by giving the participants the opportunity to understand the purpose of a task list. They examine the actions which should be taken on receipt of a new task using a case study to demonstrate the seven-step task-planning process. You then show the participants how to complete a task list and involve them in an open discussion to consider how it could be adapted to meet their individual requirements. Finally, you give the participants an opportunity to complete a task list using two of their own tasks.

Purpose: This training resource is intended for use by trainers and can be linked with the activity ‘Control your diary,’ as this takes participants on to the final stages of effective task management. It can also be useful to use this session to reinforce ‘The general principles of delegation.’ This training activity is particularly beneficial for those who currently fail to plan sufficiently, resulting in missed deadlines, excessive working hours, and so on.
