What does a structured recruitment and retention process involve?

No matter what organisation you look at – whether public or service sector, manufacturing or production – you can be sure that it operates according to accepted and understood processes and procedures. Ask a manager or member of staff in any organisation about their job and they will be able to outline the processes and procedures of which they are a part. By considering the production processes involved in making sausages, the customer complaint procedures operating in a retail outlet, or the ticket sales procedure used by a travel agent, you can get a pretty good picture of how each of those organisations goes about meeting its objectives. Yet, when it comes to recruiting and trying to retain employees, many organisations do not have such clearly defined processes in place – perhaps because many managers assume that recruitment is a ‘soft’ area better left to intuition. As a result, many organisations make poor selection choices – often at great cost to the organisation and to the individuals involved. There is, however, a recognised process for recruitment, and adapting this is likely to lead to more successful outcomes when trying to take on new staff. This is known as the ‘recruitment and retention process’. In this training activity, participants are introduced to the recruitment and retention process and get the opportunity to familiarise themselves with each of its stages.

You introduce the training activity by explaining the importance of following an effective, structured recruitment and retention process. You then introduce participants to the ‘four Es’ by outlining the need to have a recruitment process which is effective, efficient, equitable and enduring. Next, you give participants the opportunity to carry out an exercise in small groups to identify the key stages they would follow when seeking to recruit a new member of staff. You then draw comparisons between their own models and that of the recruitment and retention process, explaining the key questions to be asked at each stage. The training activity ends with a review of the key learning points covered in it.

Who is it for: This training resource is intended for use by trainers as an introduction to the recruitment and retention process, giving participants the chance to find out about the concepts and terminology and to appreciate what is involved at each stage of the process.
